What the enrolments method is

The enrolment method is a course setting that defines how users are added to a course. 


NB: Enrolment is an individual course setting, allowing each course to have its own enrolment method configured.


Types of enrolment methods

  • Everyone, this means the course is automatically available to all learners.
  • By assignment only, this means learners must be enrolled onto the course by an administrator or via Smart Enrolments (to learn more see How to add/remove Smart Enrolments).


NB: The default setting is By assignment only.

  1. Click the Settings tab on the menu bar at the top of the page.
  2. In the COURSES card click Course settings to show the list of courses.
  3. Click the course title you want to update. 
  4. In the GENERAL section find Enrolment method and click the arrow to show the list.
  5. Select the enrolment method from the list.
  6. Scroll down and click Save changes

FAQ

1. What happens to previously enrolled users when I change the enrolment method to "by assignment only"? 

When the enrolment method is changed to "by assignment," users who were previously enrolled under the "everyone" enrolment method will lose access to the course. However: 

  • Progress is retained: The system saves their progress, allowing them to resume where they left off if the course is assigned to them later. 
  • Certificates remain intact: Certificates earned before the change are still valid and accessible by admins.

2. Do users get notified about enrolment method changes?

Users are not notified about the change itself. For example, if users lose access to a course due to a change in the enrolment method, no notification is sent.

However, if the enrolment method is changed from "by assignment" to "everyone," users are effectively enrolled in the course and will receive a notification about the new course assignment.

3. Is there a way of excluding certain individuals from a course that is set to enrolment method of 'everyone'? 

No. Best option here would be to set a course to "by assignment only" and enrol everyone except for those you wish not to be enrolled. Alternatively, Smart Enrolments could be explored. To learn more see How to add/remove Smart Enrolments

4. Can enrolment process be automated?
