How to send emails to users

You can send emails to users using standard iHasco templates and custom email templates. To learn how to create custom email templates, see How to create custom email templates.


NB: Emails can only be sent to users with an email-based sign-in method. Users who sign in with a username will not be able to receive messages.



Sent emails are queued and you are notified when they have been sent successfully in Jobs complete section in the top right corner.


  1. Click Enrolment on the side menu. 
  2. Use the filtering options to locate the user(s). For more details, refer to How to use filtering to find a user.
  3. Select user(s) to receive your email: 
    • For an individual user: click the checkbox to the left of their details.
    • For a group of users: click the checkbox to the left of the column headings to select all needed users in the filtered list. 
    • For all users: click the tick sign in the heading of the checkbox column, it will select all users in the filtered list.

      NB: To send an email to a specific segment, filter your users by that segment. For more information on filtering, see How to use filtering in Enrolments section to find a user.
  4. Click Actions and select Send Email.
  5. Review email recipients to ensure the correct email address(es) or group is listed in the To box. 
  6. Click the arrow in the Email Template box to view the list of available templates:
    • Empty: You need to add a subject line and write the email message.
    • Welcome: The default welcome email template allows you to edit the text, but any changes will not be saved to the template. 
    • Custom templates section: will contain all templates created by admins, see How to create custom email templates.
  7. Scroll down and click Send Email.
